Data controller
Data is collected and processed by the association DOJOLAND ("DojoLand"), registered under No. ASSO-110343 in Benin's Register of Associations and Foundations, with its head office in Cotonou (Irédé, 157/Akanni, 2nd arrondissement). For any question, contact us at info@dojo-land.com or on WhatsApp at +229 40 88 28 28.
What data we collect
- Identity and contact: first name, last name, nickname (optional), date of birth, gender, city, country of residence, citizenship, WhatsApp phone number, email address (optional).

- For coaches, professional or amateur athletes and employees: identity and contact details, disciplines taught or practiced, attendance.
- Browsing: anonymous, aggregated visit statistics (see "Cookies and analytics" below).
Why we collect it
This data is used to verify your identity, create and manage your DojoCert card, organize training and competitions, keep you safe during classes, and reach you by WhatsApp or, if you provided it, by email (to contact you and, in the future, send you our newsletter, which you can unsubscribe from at any time). For academy members, it is also used to manage registrations and subscriptions, record attendance at the entrance, check access to classes and let you know when your subscription is ending, including by WhatsApp from the academy's main number.
Legal basis
Processing relies on your consent, given when you register for DojoCert or the academy, and on the management of your membership. You can withdraw this consent at any time, without affecting processing already carried out before the withdrawal.
Minor athletes
For any athlete under 18, registration requires the name and phone number of a parent or legal guardian, who must be informed of the registration and agree to it. Depending on age, the parent or guardian fills in the registration (young children) or the minor does (teenagers): in both cases, a checkbox confirms that the parent or guardian is aware and agrees. One WhatsApp number can register several minors (it is then the parent's or guardian's number), but only one adult. A minor's photo is never displayed publicly: an illustration is used instead, and the photo is used only internally and for DojoCert+ verification.
What is visible publicly
Public pages (the DojoCert directory and the membership card) show only: first name and surname for adults (first name and surname initial for minors), nickname, photo (the one you provided if you are an adult, an illustration if you are a minor), sports, club, coach, your role, your DojoCert status and your age. Your phone number, email address, date of birth, city, country of residence, citizenship, contacts are never public. Neither are your social links, except, for an adult, if we display them on your card at your request. You can ask us to change or remove this information at any time. You choose at registration whether to appear in the public directory. The newsletter is only sent to people who asked for it, and you can unsubscribe at any time.
Who has access to your data
Your data is accessible to the DojoLand team, as well as our technical providers: Twilio (WhatsApp verification, United States), Supabase (database and photo hosting) and Vercel (site hosting, United States). These providers only use your data to deliver their service to us, never for their own purposes. Within the academy, access to data is limited to managers, each with a personal account and rights limited by role.
International transfers
Twilio, Supabase and Vercel may process data outside Benin. These transfers are covered by these providers' data processing agreements, and the declaration and authorization steps with the APDP are in progress. Here is the list of our technical providers:
| Twilio Inc. | Phone number verification by WhatsApp | United States |
| Supabase Inc. | Database and photo storage | Ireland (European Union) |
| Vercel Inc. | Site hosting | United States |
How long we keep it
We keep your data for as long as your DojoCert registration is active, then for 3 years after your last activity, unless you ask us to delete it sooner. For academy members the period is the same: during membership, then 3 years after the last visit. Technical database backups are kept for 30 days.
Security
We protect your data with appropriate technical measures (access restricted by role, personal accounts with two-factor authentication, edit history, encrypted connections) and will inform the competent authority and affected individuals in the event of a data breach affecting your information.
Your rights
- Access your data and get a copy of it.
- Have inaccurate information corrected.
- Request that your data be deleted.
- Object to processing or withdraw your consent at any time.
- Request that your data be made portable.
To exercise these rights, contact us at info@dojo-land.com or on WhatsApp. To correct information you can also use the "Update my information" form at the bottom of the DojoCert page. We reply as soon as possible.
Complaints
You can also file a complaint with Benin's Data Protection Authority (Autorité de Protection des Données à caractère Personnel, APDP), the competent supervisory authority.
